Privacy Policy

How Memberworks collects, uses and protects information when you visit our website or use our platform.

Last updated September 15, 2026

Who we are

Memberworks provides member-management software to non-profit organizations, including YMCAs, JCCs, community centers, camps, sports leagues and churches. This policy covers our website at member.works and our marketing activities. It also explains the role we play when we handle information on behalf of the organizations that use our platform.

Two different roles

We handle information in two distinct ways, and your rights differ depending on which applies.

  • When you visit our site, request a demo or contact us, we act as the controller of the information you give us. This policy governs that information.
  • When a member or family uses our platform through an organization, that organization decides what is collected and why. We process that information on their instructions and under our agreement with them. For questions about that data, contact the organization directly; their own privacy notice applies.

Information we collect

  • Information you give us. Your name, organization, role, email address, phone number and whatever you tell us in a demo request, contact form or email.
  • Account information. If your organization uses our platform, the credentials and profile details needed to give you access.
  • Usage information. Pages viewed, links followed, approximate location derived from IP address, browser and device type, and the dates and times of your visits.
  • Communications. Records of support requests, onboarding sessions and correspondence with our team.

How we use information

We use the information described above to respond to your enquiries and schedule demos, to provide and improve the platform, to migrate and configure data during onboarding, to provide support and training, to send product updates and occasional news you can unsubscribe from at any time, to keep our systems secure and detect misuse, and to meet our legal and contractual obligations.

We do not sell personal information, and we do not use the data held in customer accounts for advertising.

When we share information

We share information only where it is necessary: with service providers who host our infrastructure, process payments, deliver email or help us schedule meetings, each under contract and only for that purpose; with the organization whose account you belong to; where the law requires it or to protect rights and safety; and with a successor if our business is acquired or reorganized, in which case this policy continues to apply until it is replaced.

Payments

Dues, donations and program payments are handled by third-party payment processors. Card numbers and bank details go directly to those processors and are not stored on our systems. Their handling of that data is governed by their own privacy terms.

Cookies and analytics

Our website uses cookies to keep the site working, remember your preferences and understand which pages are useful. You can block or delete cookies in your browser settings; parts of the site may not work as intended if you do. We also honor browser signals that ask us not to track where we are required to.

Children and families

Many of the programs our customers run are for children. Information about a child in a customer account is collected by that organization from a parent or guardian, and we handle it only on that organization's instructions. We do not knowingly collect information from children through our own website. If you believe a child has given us information directly, contact us and we will delete it.

Security and retention

We protect information with encryption in transit, access controls, monitoring and regular review of our practices. No system is perfectly secure, so we also plan for incidents and will notify affected parties and our customers as the law requires. We keep information for as long as it is needed for the purposes described here, or as long as our agreement with your organization and applicable law require, then delete or anonymize it.

Your choices and rights

You may ask us for a copy of the information we hold about you, ask us to correct or delete it, object to certain uses, or withdraw consent where we rely on it. Marketing emails carry an unsubscribe link in every message. Depending on where you live you may have additional rights under state or national privacy law. Write to us using the details below and we will respond within the time the law allows. If your request concerns data held in an organization's account, we will refer you to that organization.

Changes to this policy

We update this policy as our practices and the law change. The date at the top shows the most recent revision. Material changes will be announced on this page, and where appropriate we will contact you directly.
